How do I import time entries from QuickBooks Online into Beam?

Import employee hours and labor costs from QuickBooks Online directly into your Beam projects and budgets.

Beam supports a one-way import of time activities from QuickBooks Online into Beam.

For each time entry, Beam imports:

  • The employee’s hours entered in QuickBooks Online
  • The employee’s cost rate, which is set on the employee’s detail page in QuickBooks Online

To ensure a time entry is connected to the correct project in Beam, the time activity in QuickBooks Online must be assigned to:

  • The appropriate Customer, Sub-customer, or Project
  • The appropriate Product or Service

Where do imported time entries appear in Beam?

Once imported, time entries can appear in two places within the Beam project:

  1. Time Entries: Select the Time Entries tab on the left side of the project.
  2. Budget: If you are using a Beam budget, the labor costs will also appear within the project’s budget.

How do I edit an imported time entry?

QuickBooks Online remains the source of truth for imported time activities. Any changes to the following information must be made in QuickBooks Online:

  • Employee hours
  • Employee cost rates
  • Assigned Customer, Sub-customer, or Project
  • Assigned Product or Service

Because this is a one-way import, imported time entries cannot be edited directly in Beam. Make the necessary update in QuickBooks Online, and the updated information will then sync to Beam.
