How do I set up a subcontractor to bill me through Beam?
Before a sub can bill you, they need a subcontract to bill against and an invite to the project. Here's how to get both in place.
Before a subcontractor can bill you through Beam, two things need to be in place: a subcontract for them to bill against, and an invite so they can access the project. This article walks through both.
- Open the project, then click Subcontracts in the left sidebar.
- Check whether a subcontract already exists for the sub you want to bill you. If it's there, you're set on this piece and can move to inviting them.
- If it doesn't exist yet, click + Add subcontract to create one. For the full walkthrough on building a subcontract, see how to create a subcontract. 👈
Inviting your sub to the project
Your sub needs access to the project to submit a bid or a bill. Here's how to invite them.
- From within the project, click the 3 dots in the left sidebar next to the project name.
- Click Invite vendor to project.
- A pop-up window opens so you can prepare the invitation. Select your vendor from the dropdown, and edit the email message if you'd like.
- Click Invite to send it.
Your vendor will get an email letting them know you've added them to the project. They can jump in right from that email, or access the project anytime from their own Beam account.
Once they submit a bill, you'll get a notification via email. See how to review and approve a bill 👈
